Documents in Worthic are split between workspace files and user files. Workspace files are part of the shared workspace library, so they can be visible to other users in the same workspace when their role and scope allow it. The library is organised around the workspace, reporting lines, accounts, document types and periods. A document linked to a reporting line, account, transaction, property or business record follows the same access boundaries as that workspace data.
Visibility is not simply “everyone in the workspace sees everything.” Worthic builds each user’s document view from their workspace membership and permitted reporting lines. Owners and users with broad workspace scope can see more of the workspace library. A scoped user only sees documents connected to the reporting lines they are allowed to access. For example, a user assigned to one real estate or business reporting line can only see and access documents filed under that line, or transaction-linked documents relevant to that scope. They do not see documents filed under reporting lines outside their permission set.
Account-based documents are also filtered. If an account is fully within the user’s permitted reporting lines, its documents are visible. If the account spans both permitted and non-permitted lines, access is limited to transaction-linked documents relevant to the user’s scope.
Files saved in the user’s My files area are different. These are personal to the uploading user inside the workspace. Other workspace users do not see another user’s My files documents or folders. This is why reference uploads and personal file copies are saved there when they should not enter the shared workspace document flow.
