Email importing lets you send statements, invoices, receipts and other financial documents to Worthic without downloading and uploading each file manually. You can forward an email you received or create a new email and attach the relevant files.
Before you begin
Emailed document intake must be included in your Worthic plan. To confirm that it is available and find the details for your workspace, open:
Settings → Integrations → Import sources → Email importing
This screen shows:
- your registered sender email address;
- the destination address, [email protected];
- the current workspace ID; and
- whether workspace-file importing is available.
How to send documents
1. Send or forward the email from the email address registered to your Worthic user account.
2. Address it to [email protected].
3. Attach the documents you want Worthic to receive.
4. If you belong to more than one workspace, put only the destination workspace ID in the subject line.
5. Send the email.
If you have access to only one active workspace, Worthic can normally route the attachments there automatically. Using the workspace ID remains the clearest approach when managing several workspaces.
You may include several attachments in one email. Worthic processes each supported attachment individually.
Supported attachments
Email importing currently supports:
- PDF files;
- JPG, JPEG, PNG and WebP images;
- CSV files;
- Excel files in XLS or XLSX format; and
- ZIP archives containing supported documents.
Unsupported attachments are skipped and recorded as needing attention. For best results, use clear filenames and attach the original PDF or spreadsheet rather than a screenshot where possible.
What happens after sending
Worthic first verifies that the sender matches a registered Worthic account. It then determines the correct workspace using the subject, your available workspace memberships and, where possible, information in the attachment filenames.
For workspace owners and editors, accepted documents enter the normal document-intake workflow. Worthic checks for duplicates, stores the file securely, analyses supported content and sends the document to the Document Inbox for review. Depending on the document, Worthic may suggest its type, reporting line, account, filing location or transaction candidates.
A successfully received email can generate an in-app notification confirming how many documents were sent to the Document Inbox.
Users with Viewer access may still email documents, but their attachments are saved under My files without document analysis, routing, extraction or transaction creation.
Multiple workspaces and routing issues
If Worthic cannot confidently determine the destination workspace, it does not guess. The attachment is held as a workspace-routing issue and you receive an in-app notification.
Open your user settings and go to Sync health. Under Workspace routing, select the correct workspace and choose Resolve. Worthic will then send the document through that workspace’s intake process. Choose Discard only if the attachment should not be imported.
To avoid routing issues, copy the workspace ID exactly from the Email importing screen and place only that ID in the email subject.
Duplicates and repeated emails
Worthic checks attachments against documents already stored in the selected workspace. Duplicate files are skipped rather than added again. It also detects duplicate attachments within the same email and avoids processing the same inbound message more than once.
Troubleshooting
If a document does not appear:
- confirm that it was sent to [email protected];
- confirm that the sending address matches your registered Worthic email;
- check that emailed intake is included in your plan;
- verify the workspace ID in the subject;
- check Sync health for a routing issue;
- check the Document Inbox or My files, depending on your role; and
- confirm that the attachment uses a supported file type.
Emails from unregistered sender addresses are ignored for security. If another person regularly sends documents for your workspace, they should be invited as an authorised Worthic user and send from their own registered address.
Always review extracted information and transaction candidates before accepting them into your records. Email importing speeds up document intake, but it does not remove the need to verify important financial information.
