Worthic’s document Library is folder-based, but real-world documents often belong in more than one context. A document may live in its correct Library path under Worthic HQ, while also being useful in a collection such as Tax 2026, Insurance, Visa documents, Property sale, Audit pack, or Medical claims.
Tags and collections solve this without duplicating or moving the original file. The document keeps its normal Library path, and tags add an extra layer for grouping, filtering, and review.
Tags
A tag is a label attached to a document. Tags are shown in the document preview pane under Active tags. Users can add a new tag, apply an available tag, or remove an existing tag from the selected document. A document can also be dragged from the library view onto a collection on the left hand side; this will add that collection's tag to the document.
Tags are useful when a document needs to be found later by topic rather than by folder. For example, an insurance policy can stay filed under the correct account, property, or reporting line path, while also being tagged Insurance. A tax certificate can stay in its source folder and also be tagged Tax 2026.
Tags do not change the document’s main filing location. They are metadata on the document, not folders themselves.
Collections
A collection is a saved grouping based on a collection label. In practice, collections work through tags: when a document has a tag matching a collection, it appears in that collection view.
This means collections can cut across Worthic HQ and My files paths. A collection can show documents from different accounts, reporting lines, properties, or date folders in one place, while the files remain where they were filed.
Collections are useful for project-style or purpose-style groupings, such as:
- year-end tax support;
- property sale packs;
- insurance claims;
- audit evidence;
- travel or visa document sets;
- documents needed for a specific loan, application, or review.
Adding Documents to Collections
Users can add a document to a collection by applying the relevant collection tag from the Library preview pane. The document then appears in the collection view.
Worthic also supports drag-style collection workflows in the Library: a document can be tagged to a collection from the Library browser without changing its underlying folder path, dragging the document icon onto the collection name. If the document is already tagged to that collection, Worthic avoids duplicating the tag.
Viewing collections
The Library can show a collection as a flat list of tagged documents, or in a folder-style view that preserves the documents’ existing Library structure. This is useful when a collection contains many documents from different places: users can either see everything in one list or browse the collection using the familiar folder hierarchy.
Collection counts are based on how many documents currently carry the matching tag. Removing the tag removes the document from that collection view, but does not delete the document.

Folders answer: “Where is this document filed?”
Tags and collections answer: “What is this document useful for?”
Use folders for the canonical Library location. Use tags and collections when the same document needs to support a task, topic, claim, review, or bundle across multiple filing locations.
My Files and Worthic HQ
Tags can be used with documents users can access in the Library. Worthic HQ remains the workspace filing area, while My files is the user’s personal file area. Copying a Worthic HQ document to My files creates a personal copy; tagging a document simply labels it for easier grouping and discovery.
