Workspace ownership is established when a user creates a new workspace. The creator user is the default workspace owner, and is responsible for the subscription or add-on service that provides the workspace entitlement.
Creating a new workspace
In order to create a new workspace, a user's account must be entitled to that workspace via the current subscription plan or by purchasing an additional workspace allowance as an add-on service.
To create a new workspace, select Add workspace on the Workspaces page of your account dashboard. Complete the workspace set-up flow by adding at least one reporting line to the workspace and, optionally, adding accounts and inviting other users to the workspace.
Inviting and managing other users
A workspace owner may invite other users to collaborate on the workspace, by sending email invites, managed through the workspace card settings in their account dashboard. Open the settings menu from the settings icon on the workspace card, go to Users and roles, scroll to Invite new user, complete the details and click Create invite.
For more about user permissions and reporting line scope, see users and Roles.
In the same settings modal, existing users are displayed, from where permissions and scope can be edited. A list of pending invitations are also displayed. As soon as a user accepts your invitation, they will be visible as an existing user. Invitations can also be resent, revoked or an invite link copied which can be given to the invitee directly. Invite links expire after 14 days.
The number of users allowed to have access to your workspace is determined by your subscription plan. Adding a workspace by means of an add-on entitles that workspace to the same number of users as specified in your subscription plan. The number of users include the owner.
Creating and managing API access
Workspace owners can grant API access to the workspace, for use by other applications or AI agents. API access is permission-gated and can be scoped by role, reporting-line access and capability.
For more, see API and MCP basics, creating API access and managing API clients.
Transferring workspace ownership
Workspace ownership can be transferred to another workspace user, who will then assume responsibility for the billing associated with an additional workspace on their account. In order for a workspace to be transferred, the transferee (person assuming ownership) must:
- be a current user in the workspace and
- have a subscription or add-on service granting them ownership of the workspace.
Before transferring ownership, first invite the user to the workspace if they are not already a user on the workspace. The new owner should ensure that they have sufficient workspace allowance on their account, either through their current subscription, or by adding a new subscription (or additional workspace add-on if they are already a subscription holder).
To transfer ownership go to the workspace card settings menu in account dashboard, select Transfer ownership and select an existing user with access to the workspace. An email link will be sent from where the user can accept or decline the transfer.
After the transfer is successful, a workspace allowance is freed on your account. Your subscription and any additional workspace add-ons purchased will not be cancelled. If you wish to also cancel your subscription, go to Account settings, Billing.
h. Deactivating a workspace
To deactivate a workspace, go to the settings menu on the workspace card in account dashboard, and select Deactivate workspace.
A deactivated workspace retains all of its data and user roles, but access to the workspace is blocked for all users on the workspace, until reactivated, and all API access tokens are revoked. Deactivating a workspace frees a workspace entitlement on the owner's account, allowing the creation of a new workspace.
Exporting of data, workspace ownership transfer and workspace deletion are still available for deactivated workspaces.
To reactivate a workspace, select Reactivate on the workspace card in account dashboard. Reactivation is only available if the workspace owner has a workspace allowance available on their account.
Following deactivation of a workspace, your subscription and any additional workspace add-ons purchased will not be cancelled. If you wish to also cancel your subscription, go to Account settings, Billing.
Deleting a workspace
Deleting a workspace immediately deactivates it and the workspace and its data are scheduled for permanent deletion after 14 days. To delete a workspace go to the settings menu on the workspace card in account dashboard, and select Delete workspace.
Exporting of data and workspace ownership transfer are still available within the 14-day window, and the deletion can be cancelled within this window by selecting Cancel deletion on the workspace card in account dashboard.
Cancelling deletion reactivates the workspace only if the owner has available workspace allowance; otherwise they will be prompted to add allowance first.
Following deletion of a workspace, your subscription and any additional workspace add-ons purchased will not be cancelled. If you wish to also cancel your subscription, go to Account settings, Billing.
