Worthic’s Real Estate workspace can track the people occupying a rental property and connect their booking or tenancy information to the property’s financial activity. Short-term rentals use Guest management, while long-term rentals use Tenant management.
This creates a link between operational records—who stayed, when, in which unit and for what amount—and the bank transactions, reports and performance metrics generated for the property.
Guest and tenant records
Open the relevant workspace, select Real Estate, and choose a property. The Guest management or Tenant management section lets you add, edit, search and filter records.
Depending on the rental type, a record can include:
- Guest or tenant name
- Email address and phone number
- Check-in and check-out or tenancy dates
- Booking or lease amount and currency
- Booking channel, agent or source
- Booking status
- Assigned unit, where multi-unit management is enabled
- Notes and related operational details
Short-term records can also represent owner stays. Owner stays count toward occupancy because the property was unavailable to guests, but they do not contribute guest rental income or average nightly rate.
Records can be created manually or imported from a file. You can export the current guest or tenant list to CSV. For supported plans, Worthic can also accept a request for a custom connection to an external property-management system, channel manager, booking platform, calendar feed, webhook or managed import source. Worthic reviews the source and agrees the required field mapping before activating the connection.
Outputs created from guest and tenant data
Guest and tenant records support several Real Estate features:
- Booking or tenancy lists: Searchable operational records with dates, source, amount and unit information.
- Booking calendars: Calendar views for short-term stays, including separate unit calendars when multi-unit management is enabled.
- Monthly occupancy: Occupied nights are compared with available property or unit nights.
- Average nightly rate: Paid guest rental revenue is divided by paid guest nights. Owner stays are excluded.
- Rental-performance analysis: Linked rental receipts provide the actual rental amount used in operational analysis where available.
- Occupancy report: Shows available nights, occupied nights, occupancy percentage, booking activity and average-rate information for the selected period.
- Guest List report: Provides short-term guest and booking information for a selected period. This report is not shown for long-term-rental properties.
- CSV exports: Guest, tenant and unit data can be exported for review or use outside Worthic.
Guest or tenant names and unit details also appear where relevant in transaction and deposit workflows.
Associating bank transactions with guests or tenants
When reviewing or editing a rental receipt in Worthic, you can associate the bank transaction with one or more saved guests or tenants. Worthic stores the link between the transaction, the property reporting line and the selected guest or tenant records.
A rental receipt can include more than the amount charged for accommodation. Worthic can record components such as:
- Rental charged
- Booking or cleaning fees recovered
- Damage or utility recoveries
- Other property income
- Platform, agent and other direct costs
- Operating-expense deductions
- Deposits received
- Net amount deposited into the bank
If a single bank deposit combines payments for several guests, tenants or units, the rental amount can be split between them. This preserves the connection between the consolidated bank receipt and the underlying occupants.
The association helps Worthic reconcile operational and financial data. Where a linked rental-income transaction exists, Worthic uses the actual recorded rental charge when calculating booking revenue and average nightly rate; otherwise it uses the amount recorded on the guest or tenant record.
Disabling guest management removes this association for short-term rentals. Rental payments will no longer be linked to guests, and occupancy and average-nightly-rate information will no longer be available.
Recording and tracking deposits
Guest and tenant deposits are tracked in a dedicated Guest deposit account or Tenant deposit account. This is a managed deposit ledger, separate from ordinary rental income and from the property’s managing agent expense account.
When a bank transaction is categorised as Deposits received or Deposits refunded, Worthic can associate it with the relevant saved guest or tenant and synchronise the movement to the deposit ledger. This provides an audit trail between the real bank transaction and the person to whom the deposit belongs.
The deposit ledger can also record non-bank adjustments, including:
- Opening deposit balances
- Interest added to a deposit
- Amounts retained for damages
Each adjustment can be linked to one or more saved guests or tenants and can include a date and notes. The ledger shows deposit receipts, refunds, interest and recoveries, together with its running balance. You can filter activity by date and by a specific guest or tenant.
Deposits are tracked separately because money held for repayment is generally not rental income. Deposit-ledger movements are therefore kept out of ordinary property cashflow and profit calculations unless an amount is legitimately retained and recorded in the appropriate income or recovery category.
The Deposit Account Statement in the Report Centre provides a formal statement for a selected date range. It can cover the full deposit ledger or, where associations are available, a specific guest or tenant. Deposit activity can also be exported to CSV.
Multi-unit properties
Multi-unit management is available only while Guest management or Tenant management is enabled for the property. It is designed for properties containing several separately occupied or bookable units, such as apartments, rooms, cottages or commercial units.
You can:
- Create and describe individual units
- Record unit type, floor, size, rooms, status and notes
- Assign guests or tenants to units
- View the current occupant or next booking per unit
- Open a separate booking calendar for each short-term unit
- Export the unit list to CSV
Unit assignments carry through to booking displays, guest or tenant selectors, rental-receipt allocations and occupancy reporting. For occupancy, available nights are calculated using the number of active units, while occupied nights are allocated from the bookings assigned to those units.
If multi-unit management is disabled, the property is treated as one rentable unit. Existing guest or tenant management can continue, but unit-specific calendars, assignments and multi-unit occupancy calculations are not used.
